Summary

Conference organisers explain how to plan hearing access when selecting hotels, budgeting and running sessions.

Key findings

  • Recommends an accessibility chair, early collection and follow-up of access requests, and accurate website information about capabilities and limitations.
  • Asks planners to visit venues where possible, ask detailed questions even when a hotel states it meets accessibility standards, and check whether meeting rooms have an induction loop.
  • Includes microphones for presenters and audience questions in the audiovisual budget; suggests a volunteer carrying a roving microphone to participants.
  • Venue Setup asks organisers of multi-track events to ensure each session has the requested equipment in place, and to provide a PA connection for laptops and microphones for speakers and audience questions.

Limits

Experience-based guidance, initially drawn from ASSETS conferences of around 130 attendees and later extended to larger events. This is not a study sample or a requirements document. No comparative listening measurements. Version dated August 2019.
